Expenses and Benefits – Software including P11Ds



There are many different offerings for software which will manage benefits and the payment of expenses and benefits. Some of these are standard with payroll and or HR software or can be purchased as separate modules; others are specialist stand alone products. Any of these products may or may not incorporate functionality to compile and submit P11Ds.

Many organisations run the payment of expenses and benefits within the Finance function and the compilation of P11Ds may also reside with Finance.


Choosing Successful Expenses Management Software


The most effective software is where the claimant can use drop down menus and pick lists as much as possible thus reducing the amount of data that has to be entered. The more data that has to be entered the less that the claimant will enter and also the more opportunity for incorrect data to be entered/typos to be made. Poor design also increases the amount of manual intervention that is required by the Administrators and impacts on compliance and the ability to reclaim VAT for example.


Using software enables organisations to embed their expenses policy within the system rules; this makes it easier for the Line Manager authorising the claims since the system will identify items that are outside of policy allowing the Line Manager to query the expense and then make an informed decision re authorisation. In addition other rules can be built in re maximum spend in a certain period, different claim rules for different grades, pre authorisation for certain expense types e.g. flights and specifying preferred suppliers.


Some systems also allow claims and or receipts to be imaged and stored on a data base or on the web which means that all documents can be archived electronically which saves on space and gives easier access to the documentation. HM Revenue and Customs are agreeable to this format of archiving and to these Expenses Management Systems.
